Student Volunteer Job Duty Descriptions
Here is a brief description of the student volunteers' jobs at VisWeek 2008.
Author Lineup
Doctoral Colloquium, Tutorials, Panel and paper sessions
These are the most coveted jobs. You will be at the doors-- inside or outside
the ballrooms, take your pick :-) However, if you're inside please be by
the door so people can reach you easily (You can move a chair if needed).
You will help us with a lot of things
including -- doing headcounts at a predetermined time, handling any requests
from the session chairs, etc. Be sure to be wearing your vest during these sessions.
In previous years we have had complaints that nobody was taking care of
the room, simply because attendees were not able to
recognize the SVs.
SV Training session
The Student Volunteers (SVs) have a dedicated meeting room in the conference
hotel. This room will be announced soon. We will hold an all SV meeting there
on Saturday, October 10th from 6 PM to 7 PM.
If you cannot attend the SV training session, please send us an email.
We will discuss the description of each task, present the SV supervisors,
distribute shirts and final schedules. We will also provide detailed training
for tasks such as registration desk, slide collection and author lineup.
Registration
Attendees will report at the registration desk when they first arrive at the
conference, starting on Saturday, October 18th. Registration envelopes for
pre-registered attendees will be arranged in alphabetical order in boxes.
Each envelope includes a badge, tickets, and receipt.
You will be responsible for going over the envelope
contents with each registrant to make sure that everything is as it should be.
Don't worry; there will be someone to help you out if there is any
misunderstanding with an attendee and we'll go through all the registration
processes during training. You might need to move boxed and setup/clear the
desk if you take the first or the last shifts of the day.
Merchandise desk
Items such as the conference proceedings or DVDs (merchandise) are distributed
at the merchandise desk. More details will be provided at the training session.
Registration Setup/Breakdown, Merchandise desk Setup/Breakdown
You will help us set up and close up the shop each day. It may involve
packing/unpacking and moving a few boxes.
Bag Stuffing
We will open boxes of proceedings, DVDs etc., and put them in bags that will be
given out to attendees when they register. This will involve some physical
activity.
Email Room, and Speaker Prep Room
We need you in these rooms to both keep an eye on the equipment and to help
people as needed. You will have a chair near the entrance of the rooms. If
nobody is waiting in line to use a computer, you may use them while you are on
duty.
Note: If somebody tries to move any equipment, please make sure they are
working for the conference. You can ask for ID and/or
names. We will give you a number to call when
in doubt.
Email/Speaker Prep Setup
You will help setup the computers in the email and the speaker prep rooms. It
will involve moving and arranging the desks and the computers in the rooms,
wiring the computers etc. You do not need to know how to setup the network --
that will be taken care of.
Email/Speaker Prep Breakdown
You will help undo all the setup for these rooms. It will involve moving and
taking down the computers and the tables in the rooms.
Tally Votes
We will need your help in entering the information from head count and
evaluations in the computer.
Art Show/IDL/SAT/Posters
You will be checking badges, manning the doors, and also the equipment in the
ballroom.
Art Show/IDL/SAT/Posters
You will help us set up and tear down tables and computers. This will involve
some physical activity just like other setup and breakdown jobs.
Poster relocation
You will be paired with a fellow SV in order to move large poster easels (8 feet long)
to the reception or back to their original location after the reception is over. This will
some physical activity.
Wrap up
We will need you for miscellaneous breakdown activities. Some physical activity
might be needed.
Slice Collection
All authors have been asked to provide their .ppt presentations to IEEE after their talk is over.
This job will require you to explain to the speakers why are you collecting
the .ppt presentations and to keep track of which presentations were you able to collect.
You will also be responsible for the USB drive were the presentations are stored.
Reception
Before the reception starts, we will need your help in clearing out the area.
You will be at the doors taking reception tickets from the attendees. You will
also hand out return tickets to folks who might want to step out for a while.
We will be on hand to help. Of course, this means you will have to wait for
dinner a little bit :-)
Poster Setup/Breakdown
You will help setting up the poster boards. We expect the poster presenters to
be there with you for setup. For tear down, we will need your help in clearing
out the area of the boards.
Standby
This is the "on-call" position. You will need to fill in wherever the need is
greatest. If nothing else, we will ask you to go around and check if other SVs
need any small breaks.
